Founded in 1975, Interstate Bus Lines has grown to become a leader in the public transportation sector in the Free state and operates in the area that includes Thaba Nchu, Bloemfontein, Botshabelo, Soutpan and Brandfort. The operation comprises a fleet of 253 commuter buses and 32 luxury coaches through Big Sky Coaches and employs 800 people. The company transports over 50,000 passengers daily and its buses travel more than 17 million kilometres a year.

Interstate’s primary business is providing public transport services to commuters in and around Bloemfontein on behalf of the provincial government.

The Challenge

Interstate looked to boost productivity by introducing new fleet management systems

When Imperial Holdings acquired a majority stake in Interstate Bus Lines in December 2016, the operation was already one of the best in the Free State transport industry. However, with the new acquisition, Interstate looked to boost productivity by introducing new fleet management systems based on the most modern, innovative technology. With a growing fleet, Interstate urgently needed a system that would also improve its passenger engagement and gather detailed insights on customer satisfaction. Previous tracking systems were failing to support the company’s objective of safe, efficient and prompt delivery of passengers. For instance, faulty tracking devices meant drivers were at risk of getting lost and controllers couldn’t identify drivers or the status of vehicles. Furthermore, the company was unable to access historical data so it could plan for the long-term, improve its service, and allocate resources daily. We’d had a lot of problems with drivers telling us that the batteries on their tracking devices had died, which is unacceptable for us, says Robyn-Leigh Hudson, planner at Interstate Bus Lines. From a safety and service delivery perspective, we need to know exactly who is in which vehicle and where they are at all times.

Interstate also operates in rural areas where maps weren’t previously available. This presented a challenge as Government needs companies to account for every vehicle, prove they were at a specific location at a specific time, and adhere to public transport schedules.

The Solution

WEBFLEET was the only system to meet each of our specific requirements, which included accurate tracking, updating locations every minute, and a driver identification system that doesn't rely on battery power

According to Hudson, it took eight months for the company to interview and find the right telematics company. When Interstate finally met with Webfleet Solutions for a demonstration of the WEBFLEET fleet management and vehicle tracking system, the choice was easy. Before we worked with Webfleet Solutions, we struggled to access our data, which meant that an open API system was extremely important to us, Hudson says. Also, we wanted a company that would be willing to work closely with us and take the time to understand our needs in a real partnership. Following a full diagnosis of Interstate’s operation, Webfleet Solutions compiled a comprehensive plan to meet the company’s unique requirements. As Interstate has its own workshop, Webfleet Solutions conducted extensive training to ensure that its team of skilled technicians and artisans were well-versed in the system. It was refreshing to find that the system doesn’t restrict how the devices are installed, Hudson says. Webfleet Solutions supplied the hardware needed to manage our business, along with the administrative passwords to access the system from the cloud, so we can fix any problems immediately as they arise. This has minimised delays and ensured our operations run at optimal levels. Additionally, the system was fully integrated with Interstate’s existing fuel management system, which yielded substantial cost savings. Ultimately the choice was an easy one to make, as WEBFLEET was the only system to meet each of our specific requirements, which included accurate tracking, updating locations every minute, and a driver identification system that doesn’t rely on battery power, she says. Sanctuary Maintenance is part of Sanctuary Group, a leading provider of housing and care homes across the UK. The Group manages around 94,000 units of accommodation, including more than 60 care homes.

All maintenance on the Group’s housing stock is carried out through Sanctuary Maintenance, which has teams of fully qualified plumbers, electricians, gas engineers, gardeners, cleaners and general operatives. Sanctuary Maintenance operates a 24/7 365 days a year Customer Service Centre, based in Hull, which handles all customer calls and is responsible for the allocation of jobs to the maintenance teams operating in six regions throughout the UK.

Sanctuary has an in-house fleet comprising 600 light commercial vehicles. Fleet performance is critical to Sanctuary Maintenance’s objective of providing a quick and efficient response to customers’ requirements.

The Challenge

Improving performance to deliver a better experience for customers

A core aim is to provide a top quality service for the customers of Sanctuary Maintenance clients. As part of an established programme to invest in service levels and customer experience, Sanctuary Maintenance’s next step was to look at the performance of the fleet.

Fuel and maintenance costs were an additional consideration, as higher fuel prices resulted in the fuel spend escalating.

With this in mind, a decision was made to consider tracking vehicles as a means of driving down costs and improving service and Sanctuary Maintenance entered into a relationship with a Webfleet Solutions reseller.

The Solution

25% fuel savings in first two months

This focused on two regions and involved 80 vans. LINK was installed and within two months savings of 25% had been achieved on fuel costs, with other benefits quickly identified.

Driving standards improved immediately. In particular, our drivers’ speed awareness increased almost overnight, said Managing Director Dennis Evans. The ability to monitor driving standards encouraged drivers to adopt more considered driving styles and also enabled the vehicle’s whereabouts to be monitored at all times.

Based on the results from the pilot scheme, Sanctuary Maintenance introduced the Webfleet Solutions solution to the rest of the fleet early in 2013 to maximise effective fleet management. To ensure clear communication to the drivers, the fleet management team toured the UK with a roadshow to explain the benefits both to the business and to drivers as well as clarifying any misunderstandings.

Improved driving standards

LINK and PRO navigation units were installed in each vehicle, to determine optimum routing for each job as well as ecoPLUS for accurate MPG and fuel management. ecoPLUS proved to be a key feature in changing driver behaviour as managers were able to use the Optidrive tool to monitor and score driver performance, whilst drivers themselves received direct feedback on their behaviour via Active Driver Feedback on their navigation device.

Worked in partnership with reseller

WEBFLEET gives real time insight into fleet operations. This is presented in a dashboard format with KPIs that can be customised according to individual requirements. Bespoke reports using historical information can also be tailored via a state of the art reporting suite and accessed according to user rights in an information hierarchy.

The Customer Service Centre (CSC) at Hull, responsible for allocation of jobs, has seen dramatic improvements in customer service. WEBFLEET enables us to pinpoint the location of an operative in real time. We know when an operative arrived at a resident’s premises, enabling more accurate recording of response times to jobs, said Dennis Evans. The Webfleet Solutions products have already made a major impact on our business. We achieved cost savings of 25% in the first two months and our drivers’ behaviour has clearly improved. We are also very happy that our partnership approach to supply chain management was readily accepted by our Webfleet Solutions reseller with excellent results, added Dennis Evans.

Ferns Surfacing Ltd.

The Organisation

Part of the Ferns Group, Ferns Surfacing is one of the south’s leading reinstatement companies. The company undertakes more than 40,000 projects annually, often with short timescales and in challenging environments. Ferns can provide all aspects of reinstatement on the public highway and on private land, ranging from minor remedial work to large scale resurfacing.

Head office is in Maidstone, Kent and the company has other depots in Wembley, Dagenham, Colchester, Norfolk, and Bedfordshire. Ferns Surfacing employs around 200 staff and has a fleet of around 160 vehicles, mainly tippers ranging from 3.5 tonnes to 32 tonne hiabs, and 20 pick-ups used by supervisors.

The Challenge

Ferns undertake around 800 jobs a week, covering around 60,000 miles a week, many of which are short runs. Almost all jobs are time sensitive and carry large penalties for delays. Completing each individual job often involves three or four different teams, meaning that accurate co-ordination of vehicle movement is critical. Delays can mean penalties, usually of around £500 per day, but for major projects daily penalties could be as much as £10,000.

With CO₂ emissions becoming a significant part of the tendering process, Ferns also required a system for accurate measurement and proof of reduction in carbon emissions.

Whilst driver safety had always been paramount, recent information from the transport police and the traffic commission revealed that companies monitoring driver behaviour could have stronger mitigation in the event of any prosecution.

This has brought driver behaviour into sharper focus.

The Solution

Ferns chose the LINK and ecoPLUS, to install into their 100 vehicles, which work with the cloud-based WEBFLEET system for fleet management control. Implementation involved the Contracts Managers from the start so they were given an opportunity to make suggestions about how the system could be set up to so it most benefitted them and Ferns’ working practices. They, in turn, were made responsible ensuring thorough communication and gaining buy-in from each of their teams of 40 staff.

Once the system was installed, I asked what the driving standard at Ferns was like and was told by Webfleet Solutions Regional Manager that it was the second worse he had ever seen in our sector, said Contracts Director Andy Saunders.

For Ferns, one of the most important functions of the system is OptiDrive, which benchmarks all drivers and gives them scores for easy comparison. This makes all drivers aware of their own performance standards and identifies areas requiring improvement, such a speeding, harsh braking, cornering and idling. To encourage them further, at every depot Ferns offered an incentive of £100 every week for the driver with the best or most improved performance. Conversely, worst offending drivers are given appropriate training and support to encourage them to drive more efficiently and safely.

Within three months significant improvements were achieved, with the easy to use OptiDrive indicator playing a major role in influencing drivers to change their driving styles. Speeding reduced by 95% and driving events, such as harsh braking, reduced by 65%.

The business benefits gained from the Webfleet Solutions installation have been phenomenal. If it cost twice as much, we’d still use it, said Andy Saunders. As well as fuel savings of £160,000 in 12 months, the improvements in driver behaviour have also led to a reduction of £50,000 in our insurance premiums. The ecoPLUS facility has proved a major benefit to our tendering process as we have been able to track CO₂ emissions and demonstrate improvements. We are very happy with this outcome.
